Description

The Human Resources Administration is submitting a Notice of Intent to Award a Sole Source contract to AssetWorks LLC to provide Maintenance and Support for the AiM Enterprise system from 7/1/2022 to 6/30/2023.  To assure ongoing management of GSS’ facility operations workflow, while capturing all associated costs, a facilities management software system is an essential tool. The AiM Enterprise system is a web-based application, configured to run on any device (desktop, laptop, tablet and PDA) with Internet browser capabilities. This internet capability allows staff to enter work requests in the field, as well as check the status of ongoing work anywhere in the world. A major responsibility of GSS is to provide accurate job costing metrics. These metrics are some of the actual costs (materials, labor, maintenance, budget, and contracts),
associated with the various design, construction, and renovation projects that GSS undertakes for the Agency. These costs are captured in AiM in a variety of ways; by Project, Work Request, Building, Contractor, Employee, Type of Work, etc., to list a few. A direct result of this accurate cost capture is a greater audit and resource tracking accuracy.  The AiM Enterprise system contains enhanced reporting capabilities, i.e., Drag & drop adhoc reporting that greatly reduces the need for extensive programming\report writing knowledge. End-users can create simple as well as detailed reports with a few clicks of the mouse. This user friendly, report generating capability provides immediate (real-time) project tracking that can be formatted in a graphical (Bar and Pie chart) output for management utilization. Management can analyze projects, via these reports and implement measures that directly target inefficiencies in resource utilization, workflow processes, as well as business rules and thereby reduce overall project costs. The AiM Enterprise has the capability to have specific data targeted and displayed (dashboard) upon initial login, according to a defined (configurable) user account role (profile) in the system. The AiM Enterprise system provides GSS with a reliable, space management tool for the tracking of occupied and vacant spaces in our many facilities.  With the capability to interface with our many AutoCAD drawings, AiM Enterprise allows us to obtain accurate square footage values by, building, floor and down to a specific room. This capability greatly assists the Agency in addressing future emergency staff relocations, as was experienced during Hurricane Sandy. Another benefit of this AutoCAD integration in AiM Enterprise is the accurate tracking of “all” Agency assets, such as furniture and staff. AiM Enterprise can provide a direct link within an AutoCAD drawing, via a single mouse click and “all” associated data can be displayed, as well as provided in a report. AiM Enterprise provides GSS with a facilities management, as well as a planning tool that has information “on-demand” and kept dynamic and real-time. All collected data is entered once and shared across the entire enterprise and/or network. Without the essential vendor provided maintenance\support contracted services the potential for system module failures, lost data, inaccurate job costing and auditing results, is strengthened tremendously and will have a severely negative impact to the ongoing and future GSS’ facilities management oversight responsibilities for
the Agency.  AssetWorks LLC is the single developer and only licensed distributor of the AiM™ Suite of product(s). AssetWorks does not distribute nor make available any of our product(s) and/or training or professional implementation services to any third party or partner for the purpose of reselling or maintaining this product.&nbs
